Introducing: Custom approval rules

Custom approval rules are rules set within your team to allow certain team members approve payments when they fall into a condition set by the owner.

On your Brass account, there are currently three customisable conditions available to create an approval rule. Payment amount, payment type, and payment accounts. Once you have customised the payment conditions to your liking, you can then decide on who gets to approve payments that satisfy that condition and the number of approvals required to send the payment.

How do I create an approval rule?

  • Log in to your Brass account and head over to settings. Select Approval rules and click on the blue + sign to create a new rule.
  • Select the condition(s) in which you would like to use to set an approval rule.
  • Select the team member(s) intended to approve payments that fall within the condition you just created and select the required amount of approvals required for the payment to be sent. For a team member to be listed as a possible approver, they must have the privilege to manage payments. You can always create a role with that privilege and assign them that role.
  • Your approval rule has been created. If any payment has been created that falls within the conditions of the new approval rule, the payment approvers and requirements you have just set will be applied.
  • Once a payment that utilises the approval rule has been created, you will no longer be able to delete that rule. If you no longer need that rule, you can always deactivate it.

Frequently asked questions

  • Can I select more than one condition for approval rule?

You can select more than one condition. Eg Payment amount can be combined with Payment type.

  • Can I delete an approval rule created?

Deleting a rule is only possible if the rule has not been used to approve any payment. In the case where a rule has been used in the past, you can deactivate it. Deactivated rules will appear on your list of rules as “deactivated” whereas, deleted rules will be removed from your your list of rules.

  • Why can’t I find my team member on my approver list?

This could mean that they do not have the privilege that lets them manage payments. You can set this by editing their role or creating a new one that let’s them make payments.
